Over the years, Public Relations have continued to thrive well in Nigeria. Every organization needs to communicate, relate well, Retain and maintain mutual understanding between them and their various publics. According to British Institute or Public Relations (BIPR) Public Relations is defined as a deliberate, planed and sustained effort to establish and mutual understanding between organization and its Publics. This project tends to examine the use of Print Media as a tool for Public Relations with International Breweries Plc Ilesha. As a significance the research work try to provide satisfactory answers to some questions on how effective is the use of Print Media (Newspaper and Magazine). CHAPTER ONE

 

 

 

INTRODUCTION    

 

1.1       Background of the Study           

 

            The secretary is defined by 20th Century Dictionary as “one who is employed to write or transact business for another”.

 

The role of the secretary has changed with advent of civilization and word processing equipment.

 

The role played by a secretary in an organization is beyond writing for the employer.

 

A secretary is expected to handle minor issue of an organization.

 

                When the employer is away from he office, the secretary is the one that takes care of the office on behalf of the boss. He/she will be responsible for the handling of matters, such as handling mails (internals and external), telephone calls and the welcoming of visitors to the office. In view of this there can be ineffective administration in an organization if there is immoral relationship between the secretary and her boss. This is because the familiarities between them make the secretary to take her job lightly. The official relationship is referred to the duties to the that are expected to be performed buy the secretary and her boss in connection with each other, while the social relationship means illicit affair that exist between the two. The main purpose of the research work is to identify the ways in which the relationship affects the nature of their work.

 

 

 

1.2           Statement of Problem

 

                It is a common belief that we have more female secretaries both in the private and public services and because of the closeness between the secretaries and their immediate bosses, there tends to be some illicit affairs, which may affect the performance of their work.

 

                Therefore the researchers wish ton determine how social relationship between the secretary and her boss conflicts with their official and formal relationship.

 

1.3           Research Questions

 

The aim of this research project is to find out the impact which the relationship between a secretary and her boss has in an organization and home. To find out these impacts the following research questions will be sued.

 

 

  1. Does intimate personal relationship between the secretary and her boss undermine the boss’s authority ion the organization?

 

  1. How far is it true that secretaries who keep late office hours are suspected of having immoral dealing with their bosses?

 

  1. Is it true that illicit affair between a secretary and his/her boss can create room the leakage of important office secret?

 

  1. Can the close relationship between the secretary and her boss lead to disorder in the office?

 

1.4           Significance of Study

 

The purpose of this study is to identify the factors that are responsible for the social relationship that normally exists between the secretaries and their bosses and its affect on the performance of their official duties.

 

 

 

1.5           Scope of Study

 

The research on this subject matter is formed only on some few civil servants in Osun State Government secretariat who are high enough in their positions to have secretaries who work with them.

 

 

 

1.6           Limitations of the Study

 

It is not possible to interview al the highly placed civil servants and their secretaries because of lack of sufficient funds and time, knowing fully well that the researcher are full time students who are faced with some other serious academic work.

 

The work findings may be used to organize and determine the level of performance of some secretaries as a result of their social relationship with their supervisor.

 

CHAPTER TWO

 

 

 

LITERATURE REVIEW

 

2.0           Definition of Secretary

 

The complexity of our business world, coupled with the new ways of transacting business has made the yearnings of managers for a good secretary insatiable. The managers discover that such pressures mount in business, more and more are expected of them. No doubt, a great deal of pressure can be reduced by a secretary who can assist the managers in completing the day work.

 

It is generally acknowledge that the secretary is on indispensable contributor in the successful conduct of the day to day running of a business organization. The secretary is a major communication link between the boss and his associates, the office staff and the public. Due to the crucial linking positions, the secretary can play a vital role in helping to establish and maintain a smoother running of the business office. From all indications, a well trained secretary would be of immense advantages to the boss. Agboola et al (2009) defined a secretary as an important officer in ay establishment who contribute to the effectiveness of the organization who demonstrates the ability to show responsibility without direct supervision who exercise initiatives and judgment and who makes decision within the scope of assigned authority.

 

Michael et al (2000) describe secretary as a personal assistant with the following qualities thus, initiatives, punctuality, conscientiousness, willingness, discretion and fact diplomacy loyalty and responsible from all the above mentioned definitions, it is clear that there can be a secretary as a executive assistant, a personal assistant and the secretary a s an administrative assistant.

 

Again, as an executive assistant, the secretary is in a position of trust and responsibility. Agboola et al (2009) again describe an executive assistance as.

 

“She knows the inner workers of the office so well that she can handle the minor details that of the office daily. Either over the telephone or in person, the secretary is in daily contract with as endless variety of callers”.

 

The secretary is more or less responsible for setting the tone of the office friendly and efficiently.

 

In a secretary is more or less responsible for setting him/her dexterous when it comes to matters of office work without supervision of any delegate to the subordinate as appropriate in order to achieve the given objectives of the organization.

 

 

 

2.1           Qualities of a Secretary

 

The qualities of a secretary can be classified three main major headings.

 

i.              The image of the secretary: this comprises of

 

a.             Personal Appearance

 

People gain first impression of a secretary form her appearance, even before talking to her. It is of importance that a secretary appears in best moderate way. Coupled with in-built confidence and constant cheerfulness. This will go a long way in promoting her company image. She is the company, the company is hers.

 

Ademiluyi (2007) further discusses the qualities and personality of a secretary as stated below.

 

She is not just a model, she is a personality, she has learned to developed her individual charms not fashion herself to someone else’s pattern, she is a natural gift who looks like basic ingredients of her good looks. She makes the most of her natural movements she does not distort her charm with affected mannerism. She is passed because she has confidence without conceal herself. Good health, good sense and good tasks are the

 

b. Dressing:

 

A good personal appearance includes the proper selection and care of cloth. Any secretary that is well dressed maintains a good style without being a stake to high fashion. Any office wears should be very attractive, interesting, very neat and appropriate. It is worthy to note that the type of colour match and combination of a secretary’s dressing to the office shows how matured, she could be in her judgment.

 

                The quality of a secretary can destroy or promote her image.

 

 

 

c.             Make up and Hair Style:

 

Again good appearance includes proper rmake-up and hair do. Secretaries should master the neatest way of studying their hair in order to give them the must appearance at the same time moderate.

 

 

 

d.             Posture and Walking

 

The secretary must learn how to walk very well and walk straight. Also she must learn how to sit straight, walking straight even shoulders, chain, abdomen and flat spine against the chair back, all add up to the making of  good presentable secretary.

 

 

 

e.             Neatness and Cleanings

 

A very pleasant smile is normal asset, therefore,. As a good secretary, she must make it a point of duty to visit regularly, this assertion is also support by Martins as stated below;

 

                “A glowing appearance demand care about such things a s the condition of the hair, the face and hands. Hair that is clear, healthy looking and attractively styled is an asset to any office employee.

 

 

 

f.              Poise

 

This is another reflection of inner confidence. It combines self-control self confidence and adaptability to difference situation, devoid of conspicuous distress or disturbance. The secretary should learn to accept the pressure of work without packing. She should never have any cause to portray irritation, anger and nervousness of tension no matter how bad or provoking the situation is.

 

 

 

g.             Health

 

The success of a secretary in the office depends largely upon the condition of her health. Good health should be the secretary’s  insatiable good and if obtained,. Must be maintained in the words of Martin et al (2006) about the secretary health the following.

 

Your body belongs to you and you alone. Good health to once a s a person will surely contribute to the performance of her job and give the colour that belongs to you.

 

 

 

h.             Voice and speech

 

A secretary must have a good command of English language and must posses a proficient sense of vocabulary. The quality of the voice is an important part of the secretary’s personality. A low voice could be irritating, soft voices are better.ii. Relationship of the secretary with other: this is the second heading on the qualities of a secretary. This includes the following.

 

 

 

a.             Courtesy and Manners”

 

Courtesy costs nothing yet it pays the greatest dividend” Good manners are as important as a person’s image. Personal habit its such as combing one’s hair, picking one’s nose filing and cleaning one’s finger nails and adjusting clothing’s should be in private, not in the office. These are mannerism that a good secretary should water.
