ABSTRACT

The study on a comparative analysis of electronic mailing system is with the aim to identify electronic mail systems in use by Nigerians, to analyse the identified electronic mail system, to recommend an appropriate electronic mail system. The study made use of primary data which are gotten from the distribution of the 800 research questionnaires, 667 was returned which served as the population of the study; the sample size for the study is 250 which were derived from the taro yamane formula. The study made use of the Pearson correlation method for the analysis. The study therefore concluded that there is a statistically significantly (0.00) strong relationship (0.881) between the responses of the respondents that said that server hardware failure has significant effect on email outage and loses and those that said that the manifestation of server hardware failure is system exception. The study also made useful recommendation to assist the email users and the federal government in decision making.

1.0 INTRODUCTION

1.1 BACKGROUND OF STUDY

There have being a significant improvement in the area of ICT with the improved advancement in the level of technology all over the world. Recently in most part of Africa the activities of electronic mail systems have increased overtime and there is need for Nigeria as a developing country to have her own mail system.

It is evident that the continuous evolution of computers during the last decades has changed most of the industrialized part of our world dramatically. Gone are the days when computers were used only as a calculator, today computers have become a device for communication that link people to each other and to information.

        According to (Palme 2009) stated that email facilitates communication by its high speed, asynchronousness, and computer process-ability. In the same vein (Rice & Bair 1984; Safayeni, Lee & MacGregor 1988) stated that email facilities provides opportunities to increase productivity, worker satisfaction, and organisational viability.

In Nigeria today, with the introduction of other means of communication like GSM and newspapers there are still some limitations in the areas of effective information sharing system.

        According to Marcelle (2000) stated that ICT is not just a complex entity but an application and services used for the production, distribution, processing, transformation of information with the aid of ICT tools. The efficiency and effectiveness of the use of ICT in Nigeria can never be effective without a good email system, as this is the fastest way to development.

Among Internet users, email is considered as the most important application on the Internet (Katz &Aspden 1997). This growth involves new groups of users in the email community and this makes email usage and its impact on workplaces important to Nigeria.

The increase in the number of email users also increases the volume of email messages, both in circulation and stored on the receivers’ computers. When the number of stored messages becomes large, overview of these messages becomes difficult as they no longer can be listed on a screen. These stored messages are for many users difficult to delete as they contain information necessary for their work, or are used as a to-do list (Whittaker &Sidner 1996).        The study in this regard wishes to examine the need to for Nigeria as a country to have her own electronic mail system.

1.2 STATEMENT OF RESEARCH PROBLEM

What really motivated the study was due to the continuous loss of messages among mail users in Nigeria. It is evident that for some email users, the amount of time to handle incoming messages exceeds the available time for the server to respond to the email request. Email users become over flown and important messages may be lost or forgotten in the flood of other messages (Hiltz & Turoff 1985; Mackay 1988). All these raise needs to reroute, organize, or delete messages. It is important to find solutions for these over-flown users without degrading the situation for those that do not have overflow problems.

In other words, it is important to study many different types of users’ email handling in order to identify problems for each user group and for designers to solve these without causing more trouble for the other groups.

1.3 AIMS OF THE STUDY

The main aim of the research work is to examine and carryout investigation on existing electronic mail system with a view to recommend one for adoption in Nigeria.

1.4 OBJECTIVES OF THE STUDY

Other objectives of the study include:

  1. To identify electronic mail systems in use by Nigerians
  2. To analyse the identified electronic mail system
  3. To recommend an appropriate electronic mail system

1.5 RESEARCH QUESTIONS

The study came up with research questions so as to be able to ascertain the above stated objectives. The research questions for the study are stated below as follows:

  1. Which design solutions could improve the situation of individual email users in a working context in terms of handling large number of mails so as to avoid loss of emails?
  2. What are the roles of IMAP folders in email security and integrity?
  3. What is the effect of server hardware failure on email outage?

1.6 STATEMENT OF RESEARCH HYPOTHESIS

Hypothesis

H0: server hardware failure has no significant effect on email outage and loses

H1: server hardware failure has significant effect on email outage and loses

1.7 SCOPE OF STUDY

The study is limited to electronic mailing system by users in Nigeria only; it covers the areas on how to improve security of data or information about mails on disposition in regard to the destination and delivery of the mails. Finally the study will look at other issues in terms of email outage, data loss and integrity as a result of hardware failure.

1.8 JUSTIFICATION OF STUDY

Electronic mail system influences security and have impacts on the growth of information communication technology and the level of security in Nigeria. The challenges faced by mail users are majorly insecurity in information storage and ease of access. The findings of the study will dictate the types of electronic mail and also proffer solution to the problems faced by electronic mail users in Nigeria. The findings will also serve as spring board for the conduct of further research.

1.9 LIMITATION OF STUDY

Financial constraint- Insufficient fund tends to impede the efficiency of the researcher in sourcing for the relevant materials, literature or information and in the process of data collection (internet, questionnaire and interview).

Time constraint- The researcher will simultaneously engage in this study with other academic work. This consequently will cut down on the time devoted for the research work.

1.10 DEFINITION OF TERMS

ELECTRONIC MAIL:  is a method of exchanging messages between people using electronics

IMAP:  (Internet Message Access Protocol) is a standard email protocol that stores email messages on a mail server, but allows the end user to view and manipulate the messages as though they were stored locally on the end user's computing device(s).

SERVER: a server is a computer program or a device that provides functionality for other programs or devices, called "clients
